Sandpaper
A quote from a friends says,
"When you deal with mean and hurtful people, just think of them as SANDPAPER - they may rub & scratch you painfully, but eventually, you end up SMOOTH and POLISHED and the sandpaper ends up worn out!"
After years of having been the receiving end of rubbing and scratching God redeemed me from an officamate akin to a SANDPAPER.
You might be wondering how this entry related to Comm. Mgmt's requirement of a case that need to be solved? Just read on.
This is a case of supervisor vs. subordinate.
The VP of the company were looking for the Request for Payment she signed and placed on her out tray the night before. It was the messenger who unload the out tray, placed it on the table of the Assistant for the approval of her SVP boss.
The Asst. denied it and asked me instead but since I have not seen nor process it I told her so.
The VP was telling us the importance of that documents (receipts are attached on it).
The Asst. told the VP to let it rest for awhile "makikita rin yun, daanin sa dasal"
More minutes passed the Asst came up to me and said "hindi kaya napasama or na staple sa mga check vouchers or na i-file? I told her that's not possible reiterated that I have not seen the document.
She left and on her return to my cubicle she was now carrying a folder with check vouchers in her arms "eto yun mga check vouchers baka namalikmata lang ako paki double check" I remained in my post and casually say "hindi pwede kc di ko pa talaga nakita yun"
She turned and went to the cubicle of the messenger together they go through the check voucher one by one.
Voila! The document was there stapled in the voucher, just as she suggested. It was then that the VP entered the door and narrated story.
What then is the implication of the scenario to me, you might be asking?
Answer: I am the one in charge of preparing all the check vouchers with the document the VP was looking for found staple in the check voucher enough to label me as lousy.
another retelling of long story
Every end of the month I make sure to get all 6 updated and hand them to my Manager. The passbooks used to circulate amongst the three of us, my manager, asst and myself. The Asst. asked to be relieved from being the custodian of 6 passbooks and turned over the responsibility to me. Closing of book the Manager was asking for the passbooks I was at my wits end searching, asking peole including the Asst. about it but to no avail.
All six were missing expect the Manager to be furious, his work was put on hold. He disappointedly told me "we are the only ones here in the office and yet important documents are missing"
We filed an affidavit of lost, alerted and requested the bank for replacement. When Vice President saw the affidavit of lost she questioned the manager but he only gave a vague answer because he too was clueless as to their whereabouts. Again, the Manager talked to me vent his frustration and anger of having to change all company records since the bank has to issue new account numbers for security reasons. Though, the Manager was not shouting nor berating me I felt helpless and inefficient. It happen within the hearing of the Asst.
I kept on thinking where the hell the passbook gone I again asked the Asst. "Remember yun nga VL ako I turned over a brown envelope with documents on it sau, wala ba dun yun passbooks?" She didn't give me an answer. I asked again, she said, WALA!
One morning the Asst. was all agog looking for a photo she was supposed to scan. The asst. while resting from trying to figure out where the photo gone called my attention, "Cathy, halika d2 kaya naman pala kahit anong hanap gawin ko di ko makakita kc nandito sa ilalim ng calculator"
Minutes had passed she came with another statement, "hindi kaya ganun din nangyari sa passbooks baka nun nag ayos ng computer and MIS nahulog or nasa mga likod ng drawer"
I turned to her and said "cge na paki double check sa mga drawer mo baka naman andun nga"
She just smiled.
I suddenly felt nervous and while she's busy talking to the VP I pulled my drawer to see if there is anything there. I froze for a few second when before my eyes were the missing passbooks fastened with black clip left lying on the floor.
I return the drawer and decided not to touched the passbooks yet. I was restless deep inside me I prayed and texted my friends to pray for me as to how I will confront the situation.
I already crafted a plan to inform the right person about it. First person that came to mind was the VP, why her? First, she had this impression of me being lousy remember the above incident? Second, when the VP saw the affidavit of lost she questioned my boss? The missing passbook only add up to my reputation as being irresponsible.
2 pm she stepped out to go to the ladies room I then followed her. I came face to face with her and told her "Ma'am pwede ba kau makausap?" yah! ano yun? she answered. I was shaking and crying while explaining to her everythin and the reason why the first incident led me to be wary of what the Asst. was saying.
My respect toward the VP was strengthened with the way she responded to me without bias. Though, she symphatize with me and heard my side she's still giving me the benefit of the doubt. My encounter with her left me a notch smarter with the pieces of advice I got from her like,
1. To have important things documented and acknowledge/received by the recipient
2. To let this incident pass so as not to restrain relationship and affect the job anyway I already cleared everything to her. She added, if I know in my heart what's the real truth then I should be at peace.
3. To be careful and not to let important documents lying around. When she mentioned this I realized that she's practicing the 5 S that we discussed in class.
That afternoon, I enter the room of my male boss to tell him that I found the passbooks. Just halfway to my sentence when he told me he already knew about it and what I should do next is to have them updated on Monday.
It turned out our VP had already told him and another female boss about our conversation in the ladies room. I felt vindicated! After that incident I notice the treatment of my bossess improved a lot better they are no longer indifferent and insensitive.
In summary, what happened to me was tough I could have chosen the other route and blow things out of proportion. I may not be a manager now but I took pride having handled the situation in a professional manner. Even though the opportunity to destroy the Asst to the VP was on my hands it didn't enter my mind. What I am after was to clear my name and bring back the trust of my bosses.
I strong believed that a good communication manager is not just about being efficient with his/her job but having the right character. Communication manager is a leader and a leader is somebody who posses the qualities that are worth emulating. Part of the job description is to come face to face with with pressing situation that if you employ wrong decision could jeopardize the organization or department.
